The purpose of these articles is to equip the groupware user or investigator with helpful knowledge about the product in order to enable more effective use or to lead the investigator to the groupware service he or she is looking for. This fourth article explores the ability of groupware to facilitate online collaboration.

Online Collaboration

Online collaboration consists of sending emails back and forth to edit and review attached documents, like market reports, budgets, contracts, and press releases. Most businesses go through this process very regularly with departments, clients, investors, and strategic partners.

In today’s fast-paced business world, businesses are constantly under deadlines, working tirelessly for their business and client needs. The challenge is in keeping up with all of the online collaboration going on. After all, online collaboration has become an ad hoc process, and document versions get saved in multiple email boxes and on multiple hard drives. You can make the design process easier by using two of the basic questions for designing objectives to help you think about your concepts and how you will present them:

Who is the actor? This means, who is your audience? Who needs to be able to do or understand something by the end of the hour?

What is the behavior to be addressed? What is it that you want someone to be able to do differently or think about differently at the end of this hour?

Find the simplest answer, stick to it, and leave your audience clamouring for more!

Frameworks tell the screenwriter where to start, where to finish, what to write and what should be happening at a particular stage of the story.

Additionally, a structured approach improves performance in a number of ways, including:

a) Structure triggers prolific production and simply being prolific improves performance and quality. The single best creative product tends to appear at that point in the career when creator is being most prolific. Experience refines knowledge and methodology towards optimal levels.

b) Structure triggers engagement and simply engaging in the tasks results in problem identification and stimulates the mind into working on those problems at various cognitive levels, resulting in inspiration. Screenwriters often find that their best ideas come to them when they are in the middle of writing a screenplay.

c) Structure triggers problem identification which in turn triggers incubation. Problems incubate until answers become apparent. Increasing the incidence and frequency of problem identification increases the incidence and frequency of insight.

d) Increased problem identification (coupled with motivation) increases the incidence of solution seeking, through active search for stimuli and intellectual cross pollination through networks and collaboration.

e) Radical shifts (originality) occur through sustained incremental change. By incrementally modifying output, the distance between the original and final versions increases. Radical shifts sometimes result from dramatic events or conditions but the vast number of gains accrue from continuous incremental improvement.

f) Quality gains, measured on many levels, are result of sustained incremental changes.
